RFP Processing for a Defence and Security Firm

A defence and security firm in Dubai processed 8 to 10 large RFP documents every month, each 80 to 150 pages long. Every one took a staff member three to four hours to read and summarise into a structured report for leadership. That is a senior person spending most of a working day on extraction, not judgement.
What we built
Our team built a web portal powered by an LLM pipeline. An RFP goes in. The system extracts the structured fields leadership needs, classifies the requirements, and produces a summary report in minutes. The staff member moves from reading 150 pages to reviewing a draft.
What changed
The handling cost dropped to about 5 dollars per RFP in compute, against a manual cost that worked out to more than 18,000 dollars per employee per year. Processing went from three to four hours to near-instant. The point was never the headcount. It was giving experienced people their judgement time back, and letting the organisation respond to more opportunities without adding staff.
